send an email to help@warmwelcome.com from the account email that you use to login with requesting that the account be deleted.

After we verify the submission you can expect the account to be deleted within 30 days.

If your audio is being recorded then you'll see the waveform above under your video but if no audio is being detected then you'll see the message below.

Right from your mobile app you can now duplicate, edit and send a video email that you previously made. This is great if you have a video email that you often send to people like a property listing or one with your product or service information in it because now you don't have to recreate the entire email. You can simply click "Duplicate" and then make a few changes and send it off!

We have started implementing our new design for our contacts section of the app. We started with the import process and improved that design and process and now we're moving into the design of each contact.

This is a sneak peak of what it will look like so it's not quite ready yet but you should see it in your account within a few weeks.

This will help bring visibility into who is opening and viewing your videos as well as give you quick access into the conversation.

Send Personal Bulk Emails (beta)

We've made it easier than ever to send bulk email campaigns that still have a personal touch!

When sharing a video email you can simply type in "all" and it will send the email to all of your contacts.

You can also organize your contacts with tags and if you just want to send to a certain group simply type in the name of that tag.

If you want to choose and send to just a few contacts simply select which contacts you'd like to send to and you're done.

Adding your Video Bubble to Kajabi

Warm Welcome will work with any website platform and all you need to do is add one simple code snippet.

If you're adding your Video Bubble to to Kajabi there are just a few steps and it's very easy to get your Video Bubble on your Kajabi website.

First, create your Video Bubble and copy the embed code.

Next, go to your Kajabi "Settings" and click on "Site Details"

Inside the Site Details section scroll down to the "Page Scripts" area and paste the Warm Welcome embed code here.

Preview your course by clicking on "Products" in the Kajabi left panel and selecting your course and clicking "Preview"

Copy and Paste your site URL. If you're wanting your Video Bubble to show up on every page of your site then just copy the main section of the URL.

Lastly, return to Warm Welcome and paste your URL into the "Show on" settings for your Video Bubble.

Save your settings and you're done!

Refresh your Kajabi site and your Video Bubble will appear.

Bulk Import Contacts

Bulk emailing your contacts is pretty simple as long as you use the proper format for uploading. I'd suggest you download our template and then add your contacts here. You can do that easily by copy/pasting into the columns and it shouldn't take you more than 2 minutes because there are only 4 columns. :)

The steps are:

Go to your Contacts Page and click on Import at the top.
Download the template file. You can also download it here .
Add your contacts to the template file and keep the columns exactly the same.
Upload it and you're done.

The first step is to simply log in to Calendly.
Next copy the link to whatever meeting calendar you'd like to use.

Email Templates for quick and easy sending

We've updated our Templates feature to make it super easy to customize and personalize a Video Email without having to recreate the entire thing.

You can access all your saved templates from the Widgets page and you can create a template in two different ways.

1. You can click on the settings ••• below one of your Video Emails and click "Save As Template"

2. The second way you can save a template is while you're creating a Video Email. Simply click on the "Templates" section at the top and it will allow you to select a template for this Video Email or SAVE a template.

Everyone loves GIFS

We use animated GIF's in places where videos aren't (yet) allowed to be played. For example, when you send someone a Video Email or your use the Video Signatures we automatically create an animated .Gif to give the viewer a sneak peak into the video.

Now you can easily download your animated .Gif and use it anywhere you'd like. A prime example of this is when using another CRM or email program to send your Warm Welcome videos.

After your create a Video Email you'll see the option to download the .Gif and then once you add that to your CRM or email program be sure to link it to your Warm Welcome landing page.

Notifications

Simple (but powerful) notifications

Knowing what's happening (and when) with your Warm Welcome videos is very important so we have simplified the notification panel.

Seen - This notification is sent when someone sees your widget. For example if you have sent a Video Email then when they open the email it will count as being seen and send you a notification. If you have a Video Bubble or a Video Page embedded on your website then each time that page is loaded you will get a notification. (this could be a lot of notifications)

Watched - This notification is sent when your video has been played. If you have a video on your website that autoplays then you will get a notification each time it plays.

Replied - This notification is sent when someone replies to one of your videos. We'd suggest having email, desktop and mobile notifications on to make sure you don't miss a reply.

If you're using Outlooks desktop app for email you may have encountered some trouble with your GIF preview. Here's some tips from Microsoft that should help!

Symptoms

- When you receive an e-mail message that contains animated graphics, such as animated .gif files, only a static image appears.

- When you try sending a .gif file or using an email signature that includes an animated GIF

Cause

By default, Outlook plays animated graphics in the body of email messages. If only the first frame of the animation appears, you have animations, or animated GIFs, disabled.

Resolution

You can enable animated GIFs in Outlook by doing one of the following:

In Outlook for Office 365 before version 2008, select File > Options > Advanced . In the Display section, check the box to Play animated GIFs.
If you have Outlook for Office 365, version 2008 or higher, use Windows 10 to enable animated GIFs.
Click Start and type Show animations . Click the search result and under Simplify and personalize Windows , enable Show animations in Windows .

Or, you can view or utilize the email services in your browser. We recommend using Chrome for the best experience.

Changing the Email Address on your Account

When using our video email feature, Warm Welcome automatically follows up with your clients or recipients with an email making sure they received your video.

If you'd like to customize this email or turn it off completely, you'll head to your Profile Settings > Email > and Follow-up Email

Here you can change the subject line, body, and how long you'd like to wait before sending this message out. You can also toggle off the follow up feature all together if you prefer.

How to Send A Video Email to Multiple Recipients

Are you looking to mass send a video message? Here we'll go over a few options to accomplish just that!

While at this time, you cannot send to multiple recipients directly within Warm Welcome - we have developed a few ways you can still accomplish this by using your own email provider.

The first option is to create a video message. Once the email is good to go, you'll select "Send". Then you can decide if you just need the link or if you'd like to embed the video with a GIF preview into your email. Head over to your email provider and simply paste the code or link into the composer.

The second option, is to create a Video Page widget. We have a tutorial on how to create a video page you can check out here if you need it . Once you finish creating your video page, and select "Done", you'll be taken to the share page where you can decide if you'd like to copy the link, or copy the email embed code. And just like with the video message option, you'll just paste that into your email providers composer.

Log in to your WordPress site
Go to the Plug-in area of your account, select Add New
Search for Warm Welcome , and install

How Team Accounts Work

If you'd like to invite a team member to help manage your account, here's some additional information on how this feature works.

This video below will show you how to invite a user, and how they can then access your with their own log in.

Go to Profile > Team (under settings)
Type in the users email address under the Send Invitation section and select Send
If you are adding a teammate on their behalf, you will next want to log out of your account.
Locate the invitation email and select Join Team
The user will need to create their own account . They will be on a free account unless they chose to upgrade their own account.
Hovering over the profile icon in the lower left, they can toggle over to your account to help you manage it.

- This user can: Read and respond to messages, create widgets, access video library, and more.

- If you'd like for them to have their own email signature or video business card it is best they create on in their own account. This way the replies will go to their own inbox, and the widget will reflect their own information.

This feature is great if one team manages the same inbox or support bubble, if you have an assistant you'd like to help manage your account, or if you have multiple businesses that you'd like to keep separate.

Why are Some Autoplaying Videos Muted

Why don’t my videos autoplay with sound?

You may have noticed that videos autoplay muted in the Chrome and Safari browsers. Google and Apple both recently changed how their software handles autoplaying videos.

Which browsers support autoplaying video with sound?

According to the new autoplay specifications, autoplaying videos on IOS, Safari, Chrome, and Android must start out muted. This policy is controlled by the browser manufacturers, and all video hosting services must adhere to it.

The video below is set to autoplay, and you can try viewing it in different browsers to see how their different policies take effect. In Chrome and Safari this video will be muted, but in Firefox it will autoplay with sound.

**Note: Chrome will rely on your viewer’s Media Engagement Index to decide if it will autoplay a video with sound or not. Chrome calculates a media engagement score which is highest on sites where media is played on a regular basis. When it is high enough, media playback is allowed to autoplay with sound on desktop only.

Troubleshooting Video Issues

If your video and audio isn't "n-sync" then try these troubleshooting tips below.

If your computer is more than three years old then it may be time for an upgrade and if it's over five years old then you should definitely take it behind the barn and put it to rest.

If you do have a modern computer then there's a few things that can really slooooooooow down your computer's performance. Here's a few common culprits and solutions:

Having multiple different cameras and microphones plugged in and active. If you do have this setup just make sure other cameras and microphones aren't active on some other program while trying to record.
Check your CPU. If your computer is already maxed then recording videos is going to lag. Try closing auto-launching apps (Uploaders, Adobe Creative Cloud, Google Cloud, etc…..) - Closing or pausing these can help a lot and your CPU to above 80% idle.
Chrome plugins. A good way to bypass or test if this is the problem is to open Warm Welcome in an Incognito window.
WindowServer - this is the Apple utility program that actually displays the graphics from the computer to the monitor. If someone has a 4k monitor and is trying to record a WW video with their browser open fullscreen then it takes a ton of resources. This isn’t an app that can be closed but shrinking the recording window may help because the computer isn’t having to update as many pixels.
Use the same "source" for audio and video. Sometimes when trying to pull the video from a remote camera and the audio from a different remote microphone the computer isn't able to sync the two sources.

Other tips and tricks:Using Zoom to record (Virtual Background) and then download the video and upload into Warm Welcome.
Using Quicktime to record and then upload to Warm Welcome.

Add a Video Bubble to your website!

So you're interested in creating a video bubble for your site, but you need some guidance. We're here to help! Below is a step-by-step guide to getting your video bubble set up.

1. Go to the Widget section of your account. Select +New Widget .

2. Select the Bubble option from the widget menu. You'll see a preview of the widget to the right as you go through the different options.

3. Select how you would like to add your video. You can upload a pre-recorded video from your desktop, record as you create the widget, or select a video you've previously uploaded to your video library.

4. Customize your bubble. You can name your bubble if you'd like, so it can be easily recognizable later on. You'll go this by selecting the text Bubble Widget at the top of the settings and typing in something like your website name or which page the bubble is being placed on.

- You can choose the size, colors, font.

- If you'd like to fit the video to the space

- Decide if you'd like to include reply options or turn them off.

- And if you'd like to include the Warm Welcome branding or remove it.

You can see a preview of the video bubble on the right as you customize it!

Once you have the settings for the bubble how you like them, select SAVE.

5. You'll be able to select " Get Embed Code"

6. Select Copy Embed Code Code

7. Go to your website builder and paste the embed code on any page(s) where you'd like the Video Bubble to appear.

After you've added the code to your site and published the updated change to your site with the Warm Welcome code - You're done! The bubble should be visible and functional immediately!

Send Email from Your Domain

If you'd like to send emails using your own domain, follow the steps below.

I'm glad you're checking out Warm Welcome's Domain Verification feature (aka DKIM). It's a bit geeky but if you want to brave your DNS settings on your own then do the steps in this order:

Go to Profile -> Settings -> Email
Select Custom Domain in the dropdown.
Type in your Domain Name (not your email address) and hit SAVE .
Scroll down and you'll be given DNS setup instructions and you will need to follow these with your registrar.
Wait 24 hours (propagating) and now email will be sending from your domain using your-first-name@yourdomain.com
Go ahead and send yourself a test email to make sure you like how everything is going through.
That's it! You're done

If you're wanting to add an additional layer of privacy to your conversations you can now add a "PIN" to each conversation.

You can add a PIN when you're starting the conversation and you can also add a PIN after a conversation is already in action.

When you add or change a pin an email will be sent to to your contact letting them know that a PIN has been added to the conversation.

How to install your video bubble on your Showit website

After you've completely customized your video bubble and input what URL you'd like for it to appear on, select Get Code

Copy the code by selecting the Copy Code button provided on the next page. You'll only need to install this on your website one time. Then if you ever update this widget it will automatically update on your site for you as well.

Inside the Showit builder, select the page name in the top left corner. If a canvas is selected it will only show canvas settings and not the page settings. To avoid this, click on the page name.

In the Properties Panel (right), you should see a tab for " Advanced Settings ". Select it and it will reveal a box for adding Custom Head HTML .

Clicking the box will pull up a pop-up window that will allow you to paste your code. Click "Save" when finished.

How to install your video bubble on your Prism site

After you've completely customized your video bubble and input what URL you'd like for it to appear on, select Get Code

Next, you'll log in to your Prism account and select the website you'd like to work on

Go to your builder menu by selecting the three lines in the upper left hand corner

Select Head Code in the menu provided

Paste the Warm Welcome video bubble code into the header code box. Select Save .

You'll need to republish your site to make the video bubble live on your site. You'll do this by selecting the Publish button in the upper right hand corner of your screen.

View your site to make sure everything looks right, and you should be good to go!

You can do this in two ways:

Right as you are sending a video email you can drag & drop you logo and Warm Welcome will include it. This is a great way to customize each video email without adjusting your default logo.
The second way is to update your default logo inside of your Profile -> Email settings. By adding a logo here it will now become the default logo added to every Warm Welcome video email going forward.
